About the Role
​
Position Overview: The Campus Make Ready Project Coordinator is a seasonal, onsite role responsible for overseeing the vendor management aspect of student housing turns. Student housing turns typically occur in a fast-paced, 10-21 day period when hundreds of students are moving out, and new residents are moving in shortly after. Time is critical, but don’t worry—Campus Make Ready has a process to guide you through! Below, you’ll find details about the requirements and responsibilities of the Project Coordinator role.
Starting a week or two before Move-out Day, typically in late July, you’ll be assigned to a community and begin training with both the Regional Project Manager and the onsite management team. This training includes learning the turn process for your community, software training on property management platforms like Entrata, coordinating with the Community Manager and Maintenance teams, and overseeing the work of contractors like painters, cleaners, and carpet cleaners.

What You’ll Do

Move-out Day and Turnover: The turnover season, or "turn," begins when student leases expire simultaneously. During this period, units are painted, cleaned, and prepped for new residents. As the Project Coordinator, you’ll inspect units, oversee make-ready tasks (painting, cleaning, and carpet cleaning), and ensure contractors stay on schedule.

Software & Technology: You'll use tools like Google Sheets to track the status of each unit and update progress on the Make Ready board. Basic software skills are required, and training will be provided for any necessary forms or trackers.

Make Ready/Turn Boards: Keeping track of progress is crucial. You’ll log into the property management platform (Entrata) to update completed tasks. If anything is unfinished or needs correction, you’ll coordinate with contractors to resolve it. Regular updates will be shared with the onsite management team.

Onsite Coordination: Communication with the Community Manager, Maintenance Team Lead, and other management staff is key to keeping the turn process smooth. You’ll manage contractors and address any issues that arise, relying on the management team for updates on changes to the turn list or late move-outs.

Vendor Oversight: You’ll be responsible for ensuring contractors arrive on time, have adequate crews, and complete tasks efficiently. You’ll inspect their work and request fixes if needed, working closely with onsite management to ensure quality.

Post-Turn Assessment: After the turn is complete and residents move in, you’ll complete a report detailing how the turn went, including vendor performance, challenges encountered, and software efficiency. This feedback will help improve future turns.

Occupied Bedrooms & Common Areas: Maintain professionalism when entering occupied bedrooms and shared spaces. Equipment will be provided by the onsite team or Campus Make Ready. Stay organized, hydrated, and focused on creating a smooth turn process for all involved.
